Job Objectives

• The Project Coordinator will be responsible for running projects to ensure they achieve project objectives on time and resource and organising member communications as part of that role.
• To provide a full range of executive assistant support to the Deputy Chief Executive/Policy Director.
• To provide the secretariat function to technical groups as required.
• Coordinate committee meetings and related papers.

Person Specification
Essential:
- Project management experience and ability to work independently
- Project budget experience
- Ability to manage stakeholder relationships at all levels within and outside the trade association, in a professional manner
- Familiarity with UK construction and/or manufacturing industries
- Excellent verbal and written communication skills
- Intermediate level with relevant computer packages especially Microsoft Office
- Ability to work well under pressure, to tight deadlines and prioritise conflicting workloads.
- Previous experience as EA to senior management
- Ability to prepare committee meetings and papers
- Be available to work a flexible schedule on occasions, to support meetings and activities and to travel to other location mainly in London but occasionally rest of UK


Desirable:
- Minute-taking ability
- Ability to copy write and proof read
- Understanding of the way the press and social media works
- Knowledge of the workings of UK national and local government

JOB DESCRIPTION


Job Title: Project Coordinator 

Report to: Deputy Chief Executive/Policy Director

Job Objectives

• Coordinate committee meetings and related papers.

Key Priorities in Support of Job Objectives:

Project Management

- Create and deliver project work plans and revise where necessary to meet changing needs and requirements.
- Develop project strategies and schedules.
- Manage day-to-day operational aspects of the project(s).
- Ensure project documentation are complete, current and filed appropriately.
- Keep detailed project notes and records, minute taking of meetings.
- Track and manage incoming communication/ correspondences around projects.
- Work closely with relevant stakeholders to ensure effective and efficient communication, and the delivery of projects objectives.
- Arrange meetings on behalf of Technical and Sustainability with stakeholders.
- Ensure that technical and sustainability meets financial objectives and supports budgeting process.
- Keep all stakeholders up to date with the current information and paperwork.
- Liaises with the External Affairs and the Associations designers on communications for website or newsletters.

EA to Deputy Chief Executive/Policy Director

- Provide comprehensive diary management for the Deputy Chief Executive/Policy Director including organisation of meetings and complex itineraries.
- Act as main point of contact and gate keeper.
- Provide full secretarial support to the Deputy Chief Executive/Policy Director, including where necessary preparation and editing of documents, correspondences, briefing papers and reports.
- Liaise with stakeholders i.e. government, media and construction industry on management’s behalf via all forms of communication.
- Occasional travel within London (very occasionally rest of UK) to take notes or to provide general assistance during meetings for the Deputy Chief Executive/Policy Director.

General Support

- Provide support in other areas on CPA’s activities, as appropriate to assist with the efficient operation of the business as a whole.
- Assist with general office administration, handling incoming phone calls and greet visitors to the office.
