Education Officer, Birmingham based with some UK travel

Salary £26,000 - £28,000

We’re seeking a confident, outgoing person to help deliver our portfolio of short courses, qualifications and online learning, in line with the Association’s strategic plan.

You will work with a team of professionals committed to supporting the Association’s members as they progress on their jewellery education and training journey. 

Handling enquiries from existing and potential students, you will support them from enrolment to certification of their qualifications, using our CRM, website and online learning platform to handle learner enquiries, tracking and management reporting.

You will oversee the organisation of our prestigious annual Education Awards, held at Goldsmiths Hall, co-ordinating arrangements for students, their employers, guests and tutors. You will also help us to develop our short course programme, providing all administration and front-of-house support.

You will have professional experience of event management and delivery in a customer-facing environment as well as excellent administration skills, enthusiasm and the desire to support development and delivery of an excellent educational experience for our members.

Job Description and Performance Criteria

Job Title:  Education Officer

Reporting to:  Head of Education

Location:  Birmingham

Salary:  £26,000 - £28,000

Role:  Full-time 35 hours per week

NAJ Mission: 

To increase confidence in the UK consumer’s purchase of jewellery through the integrity, professionalism, governance, representation, education, training and creativity of our members.

Purpose of the Job:  

To support and assist the Head of Education with delivery of the Education portfolio, in line with the NAJ strategic plan.

Key Responsibilities and Performance Criteria

1. Qualifications

To support and assist the Education Team with delivery of the Association’s Qualifications portfolio.

Standard of Performance is achieved when:

a) All student enquiries are dealt with in a timely and professional manner

b) Support for administration of all processes along the student journey is provided, as required

c) All digital and paper-based information and documentation relating to NAJ qualifications is regularly monitored, reviewed and updated to ensure accuracy and alignment (e.g. terms and conditions, entry requirements etc.)

d) Certificates and Diploma are sent out to students on completion

e) Student progression and completion rates are regularly reviewed, and issues flagged to the Head of Education

f) Regular evaluation of the student experience is undertaken in order to inform further development of the NAJ qualifications, and discussed with the Head of Education

g) Detailed knowledge of course content is attained and used to help sell NAJ Qualifications (e.g. at Trade Shows and events, by phone to employers/employees)

h) Tutors are effectively supported, including allocating and monitoring workload and providing appropriate advice, support and guidance

i) Qualifications expenditure is effectively administered, including receiving, checking and authorising invoices to correct budget lines

j) Appropriate account management is undertaken, as required.

2. Education Awards Ceremony

To organise and deliver the annual presentation of awards evening. 

Standard of Performance is achieved when:

a) The awards ceremony is planned and delivered to time and budget

b) NAJ staff and volunteers are identified and appropriately briefed and supported to undertake their roles in relation to the awards

c) Appropriate marketing opportunities are identified and utilised, in collaboration with the Marketing Team

d) The awards ceremony is regularly reviewed and evaluated and opportunities for improving and developing it are identified and agreed with the Head of Education.  

3. Short Courses

To undertake administration of the Short Courses programme.

Standard of Performance is achieved when:

a) Administration of the short courses is managed efficiently and effectively

b) Appropriate support is provided to the speaker and delegates on the day (e.g. welcome, set-up, refreshments)

c) Appropriate follow-up, including evaluation is undertaken

d) Short course administration is effectively administered, including receiving, checking and authorising invoices to correct budget lines.

 

4. Education Portfolio

To support and assist with the development and delivery of the broader education portfolio, as required.

Standard of Performance is achieved when:

a) Administrative and other support is provided to the Head of Education, as new and emerging education initiatives are developed.

 

5. Flexibility

To recognise that the Association is a small organisation split over remote sites, and that it is essential that all staff are willing to work flexibly and to undertake, from time to time, such other duties as may reasonably be requested, to provide a quality service to members, suppliers, consumers and colleagues.

Standard of Performance is achieved when:

a) Tasks outside your normal area of responsibility are undertaken with a positive and productive attitude e.g. support new starters, provide cover during staff holidays, answer ringing phones and assist with exhibitions and events.

b) Knowledge and skills are shared with your colleagues to the benefit of the Association.

6.  Health, Safety and Security

To be responsible for always observing the Association’s guidelines on Health and Safety, and adherence to the Associations IT policies and procedures.

Standard of Performance is achieved when:

a) Your Health and Safety and that of your colleagues is taken seriously and you always follow the company guidelines.

b) The Association’s IT policies and procedures are adhered to at all times.

c) Safety and security concerns are reported to your line manager or other appropriate person.

Person Specification

Essential:

1. Experience in a customer-facing environment

2. Experience in event management and delivery

3. ‘A’ Level standard of education or equivalent

4. Excellent written and spoken English

5. Excellent interpersonal skills and a good team player

6. Excellent IT skills, including website management and Microsoft Office products

7. Experience in using a Customer Relationship Management (CRM) System to manage workload

8. Ability to review and report on financial and other management information

9. Willingness to travel within the UK and to work occasional evenings and weekends

10. Ability to undertake complex administrative tasks

11. Well organised with good project management skills

12. Experience managing volunteers and working with external stakeholders

14. Experience of administering qualifications
